GENERAL DESCRIPTION

Job Overview:
As a Four Diamond property, The Westin Anaheim Resort is committed to delivering exceptional dining experiences while establishing itself as one of Orange County's premier food and beverage destinations. The Food & Beverage Events & Business Development Coordinator serves as an extension of the Director of Food & Beverage and is responsible for coordinating private dining events, cultivating strategic business relationships, supporting marketing initiatives, and driving revenue-generating opportunities across all Food & Beverage outlets. Working in close partnership with the Director of Food & Beverage, Operations, and the Marketing team, this position serves as the primary coordinator for private dining events, large party reservations, and outlet activations while proactively identifying new business opportunities through networking, community outreach, and relationship development. This role is expected to build meaningful partnerships throughout the local community, identify emerging hospitality and social media trends, coordinate engaging promotional initiatives, and support marketing efforts that strengthen brand awareness and increase outlet traffic. Succes in this role is defined by the ability to execute exceptional guest experiences, generate new business, build lasting client and community relationships, and consistently support the department's vision through creativity, initiative, and execution. This position is expected to think beyond daily responsibilities by bringing innovative ideas, identifying opportunities for growth, and collaborating with the Director of Food & Beverage and Marketing team to continually elevate the Food & Beverage program.
REQUIREMENTS

Private Dining & Event Coordination
- Serve as the primary coordinator for all Food & Beverage private dining events, celebrations, large party reservations, and outlet buyouts.
- Manage the complete event process from initial inquiry through planning, execution, billing, and post-event follow-up while delivering an exceptional guest experience.
- Coordinate weekly gratuity allocations to ensure servers and support staff are paid accurately and on time.
- Process guest deposits and credit card payments while maintaining accurate billing documentation.
- Conduct site inspections and property tours for prospective clients.
- Prepare proposals, contracts, Banquet Event Orders (BEOs), event resumes, invoices, and all supporting documentation.
- Coordinate menus, beverage selections, timelines, room layouts, audiovisual needs, décor, billing, and special requests.
- Serve as the primary liaison between clients and hotel departments throughout the planning process.
- Coordinate event logistics with Food & Beverage Operations, Culinary, Front Office, Stewarding, Purchasing, Engineering, and other supporting departments.
- Welcome clients upon arrival, oversee event execution, proactively resolve concerns, and ensure Four Diamond service standards are consistently delivered.
- Conduct post-event follow-up to strengthen client relationships, gather feedback, and generate repeat business.
- Maximize event revenue by identifying opportunities to upsell menu enhancements, beverage packages, premium experiences, and specialty offerings.
Business Development & Community Partnerships
- Partner with the Director of Food & Beverage to identify and pursue new business opportunities that support departmental revenue goals.
- Proactively build relationships with neighboring hotels, Disney Good Neighbor Hotels, concierge teams, the Anaheim Convention Center, local businesses, corporate offices, tourism organizations, entertainment venues, and community partners.
- Represent The Westin Anaheim Resort at networking events, industry functions, and community organizations to promote the Food & Beverage program.
- Develop strategic partnerships and referral opportunities that increase outlet visibility, private event bookings, and guest traffic.
- Maintain an active sales pipeline through prospecting, networking, relationship management, and timely follow-up.
- Stay informed on market trends, competitor activity, and emerging hospitality concepts while recommending opportunities for continued growth.
- Prepare sales activity reports and provide supporting information to assist the Director of Food & Beverage with forecasting, budgeting, and business planning.
- Actively pursue new business opportunities by conducting outside sales calls, visiting neighboring hotels and local businesses, attending networking events, and building relationships that generate new revenue opportunities.
Marketing Coordination & Brand Support
- Serve as the primary liaison between the Food & Beverage department and the Marketing team to coordinate marketing initiatives, promotional campaigns, and creative projects.
- Partner with the Director of Food & Beverage and Marketing team to support outlet promotions, seasonal programming, menu launches, rooftop activations, specialty dinners, live entertainment, and holiday events.
- Maintain a rolling 30-day marketing and content calendar for all Food & Beverage outlets.
- Work closely with the Marketing team to identify emerging social media trends, promotional opportunities, and creative campaigns that keep the Food & Beverage program relevant and competitive.
- Coordinate marketing requests, promotional materials, menus, photography, creative assets, digital signage, website updates, OpenTable listings, Marriott platforms, and other marketing needs.
- Ensure all marketing initiatives accurately reflect Four Diamond standards, brand guidelines, and departmental objectives.
- Support promotional campaigns that increase outlet awareness, guest engagement, and revenue.

Social Media & Content Creation
- Capture high-quality photography and video showcasing Food & Beverage outlets, menu items, cocktails, events, associates, and guest experiences.
- Create engaging digital content, including Instagram Reels, TikTok videos, Stories, and social media posts that support outlet promotions and special events.
- Work collaboratively with the Marketing team to ensure content aligns with current campaigns, brand standards, and departmental goals.
- Stay current on hospitality, culinary, beverage, entertainment, and social media trends while recommending creative ideas that strengthen the department's digital presence.
- Maintain an organized library of photography, video, and creative assets for future marketing campaigns, menu launches, seasonal promotions, and special events.
Promotions & Revenue Growth
- Partner with the Director of Food & Beverage to develop and execute promotional initiatives that increase outlet awareness, guest engagement, and revenue.
- Assist in planning and executing wine dinners, cocktail experiences, chef collaborations, rooftop activations, themed events, holiday programming, and seasonal promotions.
- Research market trends, guest preferences, and competitor activity while recommending innovative ideas that strengthen the Food & Beverage program.
- Identify opportunities to increase outlet traffic through strategic partnerships, community engagement, and creative promotional initiatives.
- Evaluate promotional performance and provide recommendations for continuous improvement.
Performance Expectations
- Performance in this role is measured by the ability to execute high-quality events, support revenue growth, strengthen community relationships, and successfully implement the Food & Beverage department's sales and marketing initiatives. The coordinator is expected to demonstrate professionalism, creativity, accountability, and exceptional organizational skills while supporting the strategic direction established by the Director of Food & Beverage.
- Respond to all sales and event inquiries within 24 hours while maintaining timely and professional communication throughout the planning process.
- Maintain an active sales pipeline by consistently prospecting new business, nurturing existing client relationships, and following up on all leads.
- Complete a minimum of 5-7 qualified business development activities each week, including prospecting calls, client meetings, networking opportunities, partnership outreach, site inspections, or outside sales visits.
- Conduct a minimum of 2 community outreach visits each month to neighboring hotels, local businesses, convention partners, or community organizations to increase awareness and generate new business opportunities.
- Maintain a rolling 30-day marketing and social media content calendar to ensure consistent promotion of all Food & Beverage outlets, events, and programming.
- Produce engaging, high-quality digital content across all Food & Beverage social media platforms, averaging: 3-4 Instagram Reels per week, 2 TikTok videos per week, Regular Instagram Stories highlighting daily operations, promotions, special events, and guest experiences.
- Coordinate all assigned private dining events, celebrations, and large party reservations with exceptional organization, communication, and attention to detail while delivering a seamless guest experience from inquiry through post-event follow-up.
- Develop and execute a minimum of one new promotional activation, partnership, or marketing initiative each month that supports revenue growth, guest engagement, or community awareness.
- Build and maintain strong relationships with clients, community partners, local businesses, and neighboring hotels that generate repeat business and strengthen The Westin Anaheim Resort's presence within the local market.
- Monitor marketing performance, social media engagement, and promotional effectiveness while providing recommendations that enhance visibility, guest engagement, and financial performance.
- Prepare and present a monthly recap outlining private event revenue, sales activity, marketing initiatives, community outreach efforts, social media performance, promotional results, and opportunities for continued growth.
- Demonstrate accountability by consistently meeting deadlines, following through on commitments, effectively managing multiple projects, and maintaining a high level of organization.
- Complete weekly gratuity allocations accurately and on time while maintaining organized event documentation for Accounting.
- Consistently contribute toward achieving annual Food & Beverage revenue, private event sales, and departmental profitability goals while representing the Four Diamond standards of service, professionalism, and hospitality in every interaction.

Qualifications and Requirements
- Bachelor’s degree in hospitality, Marketing, Business Administration, Communications, or related field preferred.
- Minimum 2–4 years of experience in hospitality sales, food & beverage, event planning, marketing, or a related field.
- Previous luxury hotel or Four Diamond/Four-Star experience preferred.
- Experience coordinating private events, group dining, or catering preferred.
- Experience managing business social media accounts, including Instagram, Facebook, and TikTok.
- Strong photography, videography, and content creation skills.
- Experience using Canva, Adobe Express, or similar creative platforms preferred.
- Strong knowledge of Microsoft Office Suite and hotel sales systems (Delphi, CI/TY, Micros, OpenTable, or similar platforms preferred).
- Advanced Microsoft Excel and strong administrative skills required
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple projects simultaneously.
- Self-motivated with the ability to work independently while maintaining strong collaboration across departments.
- Flexible schedule including evenings, weekends, and holidays based on business needs.
- Valid driver's license required.
