The Opportunity:
The Assistant Director of Human Resources works with the Corporate Director of HR, supports the direction and daily operations of the Human Resources department, oversees talent acquisition, employee relations, compliance, training, employee development, supports and administers payroll, benefits, conducts research, designs and implements effective methods to enhance current systems. This role ensures consistency, compliance and efficiency across all HR functions, while providing leadership, guidance, and operational support to property – level and corporate HR teams. SUPERVISORY RESPONSIBILITIES:

  • This position requires high focus on management and leadership responsibilities  with direct accountability to the CEO.
  • Supports talent acquisition including: recruitment, interviewing, hiring, training and development for human resources staff.
  • Oversees the daily workflow of the department.
  • Provides constructive and timely performance evaluations.
  • Manages disciplinary action as well as terminations in compliance with company policies and federal, state and local regulations.
  • Trains and coaches managers, supervisors and others involved in employee relations and development efforts.
  • Partners with vendors to ensure effective advertisement efforts are being utilized for open positions in appropriate venues to attract a diverse candidate pool.

DUTIES/RESPONSIBILITIES:

  • Partners with the leadership team to understand and execute the organization's human resource and talent strategy particularly as it relates to current and future talent needs, recruiting, retention, and succession planning.
  • Provides support and guidance to HR generalists, management, and other staff when complex, specialized, and sensitive questions and issues arise; may be required to administer and execute routine tasks in delicate circumstances such as providing reasonable accommodations, investigating allegations of wrongdoing, and terminations.
  • Manages the talent acquisition process, which may include recruitment, interviewing, and hiring of qualified job applicants, particularly for managerial, exempt, and professional roles; collaborates with departmental managers to understand skills and competencies required for openings.
  • Support Corporate HR Director in administering all other corporate initiatives such as annual merit process, benefit enrollment, wage and hour surveys, etc.
  • Ensure compliance with federal, state, and local employment laws and regulations, and recommends best practice.
  • Communicate and interpret all company and hotel policies/ procedures
  • Assists with and/or conduct investigations.
  • Ensure worker's compensation claims are taken or documented and present to GMs.
  • Attend monthly worker’s compensation claims reviews with GMs and Director of Security and Compliance.
  • Submit required documentation in response to unemployment claims. Participate in unemployment hearings as needed.
  • Promote teamwork through training in trust and quality service to employee’s and guests through daily communication and coordination with other departments.
  • Analyzes trends in compensation and benefits: researches and proposes competitive base and incentive pay programs to ensure the organization attracts and retains top talent.
  • Creates learning and development programs and initiatives that provide internal development opportunities for employees working with Corporate Training Manager for high performance initiatives.
  • Fully trained on Worday to operate the system. Then able to train the new staff.

  • Proposes trends, and operative department in compliance with the current budget and completes the departmental budget by 12/1 of the presiding year.
  • Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.

MANAGING LEGAL AND COMPLIANCE PRACTICES

  • Reviews and follows disciplinary process in place, ensuring measures are fair and consistent for all.
  • Ensures active and non-active personnel files are properly maintained and secured.
  • Ensures personeel files contain required employment paperwork/documentation (application, confirmation of handbook, at-will, arbitration, drug screening, background, proper performance management, etc.)
  • Annully ensures compliance with procedure for accessing, reviewing, and auditing personnel files and ensure compliance with Federal, State and Local Laws.
  • Facilitates reasonable belief testing and ensures post accident drug testing process is followed for Workers, Compensation.
  • Communicates property rules and regulations via department SOP in accordance with handbook.
  • Assist and collaborate with the  Corporate Director of Security and Compliance with safety training of staff.
  • Ensures all safety and security policies (e.g., lock out tag out, hazardous material, emergency evacuation, anti-harassment,  property removal, lost and found items, blood borne pathogens, accident reporting, and hygiene) are communicated to associate on a regular basis through orientation, property meetings, bulletin boards, etc.
  • Conducts periodic claims reviews with General Manager, Director of Secrutiy, CEO, and/or Regional Claims office to ensure claims are closed in a timely manner.
  • Represents Human Resources at the property Safety Committee; helps to identify ways to create awareness of the importance of safety in the workplace and decrease accident frequency and severity.
  • Manages Workers Compensation claims to ensure appropriate associate care.

PAYROLL AND BENEFITS

  • Oversees, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
  • Provide day-to-day support within Workday HRIS platform.
  • Communicate with CEO on routing of payroll reports.
  • Generate and distribute reports related to payroll, benefits, and cost management for interal review.
  • Assist with configuration updates and process improvements within Workday.
  • Monthly audit benefit enrollments, compliance, and billing reconciliation.
  • Understand and manage the benefit bill interface for Workday and benefit providers.
  • Work with our brokers to perform quarterly insurance and benefit audits.
  • Ensure timely submission of health insurance invoices and coordinate with vendors as needed.
  • Support benefits enrollment, auditing, and troubleshooting processes during the contract period.
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Prepares and maintains accurate records and reports of payroll transactions.
  • Reconcile monthly payroll invoices to ensure accurate biling and resolve any discrepancies.
  • Collabroate with the payroll processor and external venders (e.g., OSV) to reconcile and resolve benefits invoice discrepancies.
  • Reconcile workers’ compensation reports and submit ACH or check requests to the Accounting team as required.
  • Audit vacation and sick accrual for backup documents.
  • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Facilitates audits by providing records and documentation auditors.
  • Identifies and recommends updates to payroll processing software, systems, and procedures.
  • Oversee daily report of Time clock issues, including daily report to HR and GMs for missed 10-minute break, missed Lunch for start time, and double time. Audit and follow up on all time entry edits made to the time clock initial recording in writing.
  • Oversee management re-training of all staff for attestation and make recommendations for corrective measures to time keeping.
  • Audit and investigate quarterly meal premiums compliance.
  • Maintain and report time and attendance time edit revisions, rest and meal break attestations, and California meal break penalties.
  • Responsible for ensuring all payroll regulatory filings are completed in line with statutory due dates, and stay current on regulations, benefits changes, and labor laws impacting the payroll process for all payroll tax jurisdictions. Manage employee globalization initiatives and ensure proper treatment of reportable benefits for tax equalized employees.
  • Oversee open enrollment for 401k.
  • Process 401(k), garnishments, termination checks and special payroll requests.
  • Perform timely 401k reconciliations and enure the accurate upload of files to appropriate systems.
  • Audit quarterly for compliance, 401k contribution, ER matches, and loans.
  • Work closely with external partners to complete the annual company's 401k audit, workers' compensation audit and financial statements audit. Proactively prepare relevant management reports as needed.
  • Coordintate quarterly meetings with 401k advisor to review 401k performance and compliance issues, along with semi-annual enrollment meetings with 401k participants to review portfolios.
  • Work with HR staff and managers to thoroughly review all Workers comp claims with insurance brokers and consultants. Note and discuss the issue with Corporate Human Resources Director and the Chief Executive officer.

MANAGING EMPLOYEE DEVELOPMENT

  • Oversee Human Resources training, Workday/OSV, benefit, 401k, orientation program for employees to receive the appropriate new hire training to successfully perform their job.
  • Ensures Human Resources staff is cross-trained to support successful daily office operations.
  • Uses all available on the job training tools for employees; supervise on-going training initiatives and conducts training, when appropriate.
  • Ensures coordination and facilitation of new hire orientation program to generate a positive first impression for employees and emphasize the importance of guest service in company culture.
  • Ensures attendance by all new hires and participation of the leadership team in training programs
  • Collaborates with management team to ensure departmental orientation processes are in place and employees receive the appropriate new hire training to successfully perform their job.
  • Trains associates as needed to brand standards.
    • Audit vacation and sick accrual for backup documents.
    • Ensures compliance with federal, state, and local payroll, wage, and hour laws and best practices.
    • Facilitates audits by providing records and documentation auditors.

Education, Physical & other requirements

  • Strong knowledge of Workday HCM; payroll configuration experience is a plus.
  • 6+ years of hands-on HRIS support experience, ideally within a Workday environment.
  • 4-year bachelor's degree in Human Resources or Business Management, or related major preferred.
  • 2+ years in Hotel/Resort as a Human Resources Generalist or higher.
  • Hotel industry work experience, demonstrating progressive career growth and a pattern of exceptional performance.
  • Strong understanding of payroll, benefits administration, and accounting workflows.
  • Proficiency in Microsoft Office, advanced Excel Skills.
  • Have proficient training, coaching and counseling skills.
  • Must be able to work a flexible schedule when needed.
  • Must be able to sit, walk and bend throughout day.
